Our venue is in a residential area. Is there any way you can restrict sound levels?

All the sound systems on our discos, are equipped with sound limiters as standard. These are initially set to protect our amplifiers and speakers from being overloaded but can be configured to any desired point in order to prevent the music from exceeding an acceptable level and disturbing local residents.

How far will we  travel for a disco?

Any distance within a 15 mile radius of Oxford is included in the disco fee, any venues over this distance there will be a small extra charge to cover mileage and time. we will travel up to a 80 mile radius off Oxford City.

Can I pay in advance for my disco?

You can send full payment to us . we will then forward a receipt to you by return post, in the knowledge of having one less thing to arrange on the day.

Do your DJs play requests?

All are DJs will play any requests or dedications you or your guests would like to hear. You can even send us a list of your favourites in advance or  bring along any specific CDs if desired. We will go out off are way to meet your wishes.

Do you use a fog machine?

Smoke machines are included on all our discos but are entirely optional. We always check with venue staff with regards to possibilities of fire alarms being triggered as some venues forbid their use for this reason. When fog machines are used, it is only used in small quantities to produce a subtle haze to enhance the light effects rather than fogging out the venue!

Do I get my booking confirmed in writing? Is a deposit required?

We will post you confirmation in writing or by email, in order to secure your booking, yes a  non-refundable deposit of £50 or 25%  is taken on confirmation off the booking, the remainder can be paid to the DJ on setup prior the the show.

 

Terms & Conditions

1. The person named as the client on the booking form is responsible for all fees due.

2. A non-refundable deposit of £50 or 25% of the fee (whichever is the greater) must be paid, within seven days, to secure a booking.

3. If a booking has been confirmed and Retro Disco Services  attends the function to find another service provider has been booked by the client, or any other persons, then the full fee shall be payable as per the agreement.

4. Cheque payment will only be accepted up to 10 days prior to the event (to allow for clearance). Payments after this time will only be accepted in cash. All outstanding monies to be paid prior to the event.

5. Performance times and the venue specified at the time of booking will be adhered to in accordance with the contract. However, on the night of the function, additional performance time may be negotiated. This is at the DJ’s discretion and subject to additional fees, to be agreed at the time (usually £30 per each additional hour slots) payable, in cash, prior to continuation.

6. Retro Disco Services  are happy to accept music lists and requests in advance of functions. We will endeavour to play the clients chosen requests, provided such requests are submitted in good time before the event. We will also endeavour to play individual tracks requested by the client or their guests on the night, however, for legal copyright reasons, we will only play client provided tracks if they are supplied on original audio CDs.

7. Cancellations must be made  at least 30 days prior to the date of event. If this is not complied with, a fee of 50% of the total cost will be charged to the client. Cancellations made within 7 days of the event will result in the full fee being charged.

8. In the extremely unlikely event of us having to cancel, we will refund any monies in full. This will be the full extent of our liability. We will do are best to get another Disco to your function, but this has never happened in all are years off supplying disco shows

9. In the very unlikely event of us suffering catastrophic equipment failure, resulting in non-fulfilment of any of the services, Retro Disco Services  will refund any payment on a pro rata basis of the booked time remaining. No further compensation can be claimed.

10. We require access to the venue at least 60 minutes prior to the event and 45 minutes after the event to set up and pack away. If the performance start time is delayed due to the inability of the company to gain access to the performance area, or any other delay beyond the company’s reasonable control, no liability will be accepted and no refund will be given.

11. We require provision for parking within 15 metres of the venue entrance.

12. It is the client’s responsibility to ensure that the venue has a working, and safe, double 13 amp socket (2 preferred) within a reasonable distance of where you require us to set up.

13. Retro Disco Services  will not be liable for breaches of byelaws, or conditions under which the venue is leased, hired, or entrusted to the client.

14. It is solely the responsibility of the client to ensure the venue complies with all Health & Safety issues.

15. Retro Disco Services  will ensure that all electrical equipment used will be in 100% working order and safe to use.  The company is not responsible for any damage caused to the room or building where the services are provided and is not responsible for any power outages.

16. A  copy of our public liability insurance will also be available for inspection.

17. We reserve the right to cancel our services should we discover that the venue is unsuitable or dangerous, e.g. if the power provided is not capable of operating the equipment without risk of damage to the equipment, company or the public, or if the working environment constitutes a health and safety risk. If applicable, the client agrees to furnish a facility that completely covers Retro Disco Services  equipment from direct sunlight or rain. If service must be discontinued for any of the aforementioned reasons, no refunds will be awarded.

18. The supervising adult(s) will ensure that the children do not interfere with the disco equipment or with the DJ performing his duties.

19. Retro Disco Services  agree to conduct themselves in a sober and proper manner and respond to the reasonable wishes of the client as to the volume and location of equipment or other matters concerning people’s enjoyment of the event

20. It is the client’s responsibility to ensure the good conduct of their guests. If at any time, before or during the event, we deem our persons or property to be under threat, we reserve the right to terminate our services with immediate effect. In these circumstances no refund will be made, and we reserve the right to claim damages.

21. The client will provide suitable adult supervision for children attending the disco. This may include assisting the DJ in the organizing of children during games played at if required.
